Getting Started

  1. Install the add-in from Microsoft AppSource or via your organization's admin.
  2. Open any email in Outlook Web (outlook.office.com) or new Outlook for Windows.
  3. Click the Zephyr icon in the toolbar.
  4. Sign in with your Microsoft account when prompted.
  5. Type / to explore commands, or tap an action button to get started.

FAQ

Is my email data stored?
No. Email content is processed in real-time by your configured AI provider and is never stored on our servers. See our Privacy Policy for details.
What AI models are used?
We support Google Gemini (Flash and Pro), OpenAI GPT-4o, Claude 3.5 Sonnet, and Azure OpenAI. Free users get Gemini Flash. Pro users can choose any model. Your organization admin can enforce a specific provider.
Can I use this with Outlook desktop (classic)?
Currently, the add-in works with Outlook on the Web and the new Outlook for Windows. Classic Outlook desktop support depends on Microsoft's add-in platform capabilities.
How do I cancel my Pro subscription?
Go to Settings > Account and click Cancel. Your Pro benefits remain until the end of the billing period.
What happens when I hit my daily limit?
Free users get 25 AI calls per day. Pro users get 300. The counter resets at midnight UTC.
Can my organization use this?
Yes! Our Enterprise plan provides org-wide access with shared credits, admin dashboard, AI policy enforcement, BYOK support, and enterprise user management with seat limits.
Do workflows run when Outlook is closed?
Yes! Workflows with the 'on_received' trigger run 24/7 via webhooks (work accounts) or scheduled polling (personal accounts). Workflows with the 'on_schedule' trigger run on a cron schedule via EventBridge. No need to keep Outlook open.
What are slash commands?
Type / in the chat input to see 30+ commands for drafting, scheduling, triaging, tracking, reminders, templates, and more. It's the fastest way to use Zephyr.
Can I connect Zephyr to Jira, Slack, or GitHub?
Yes! Zephyr supports 11 integrations. Jira: query and create tickets. Slack: post messages to channels. GitHub: create and search issues. Notion: add pages to databases. Trello: create cards on boards. Linear: create issues in your team's backlog. Asana: create tasks in projects. HubSpot: save email senders as CRM contacts and log email activity. Google Sheets: append rows to spreadsheets. Airtable: add records to bases. Webhooks: save named HTTPS endpoints to trigger Zapier, Make, or any automation tool. Connect them all in Settings > Connected Services.
How does email tracking work?
When tracking is enabled, Zephyr injects invisible signals into sent emails. Smart bot detection automatically filters out false opens from Gmail proxies, Outlook prefetch, security scanners, and your own sent-folder views. Only confirmed human opens with sufficient confidence update the status. You see color-coded cards (amber for delivered, green for opened) with a confidence percentage and a full event timeline showing exactly what happened.
Can I edit a workflow after creating it?
Yes! Each workflow card has a pencil icon (edit button). Tap it to open the workflow in the editor where you can change the name, trigger, conditions, and actions. Save to update.
What are follow-up reminders?
Set a reminder like 'remind me if John doesn't reply in 3 days'. Zephyr checks automatically using Microsoft Graph. If no reply is found by the deadline, you get a notification in your activity feed.
Can Zephyr send me an SMS when an email arrives?
Yes! Pro and Enterprise users can add a verified phone number in Settings > Notifications and use the 'Send SMS' action in any workflow. For example: 'When I get an email from my boss, summarize it and text me the summary'. SMS always goes to your own verified number. Pro users get 50 SMS/month, Enterprise users get 200/month.
